Operational terms for an AI receptionist SaaS.
These terms define acceptable use, refunds, service levels, and safety controls for Happy Light AI.

Service description
Happy Light AI provides AI-powered phone answering, call summarization, scheduling assistance, and dental practice workflow support. The service is not a medical provider and does not diagnose, prescribe, or verify insurance benefits.
Pricing and usage
Unless an order form, onboarding billing snapshot, or tenant-specific billing record states otherwise, the standard usage model is $149 per month, including the first 200 AI conversation minutes. Customers may choose whether usage after the included minutes automatically adds started-hour blocks at $30 per block or pauses AI answering until the next billing cycle or plan change. There is no standard setup fee and no forced annual contract. Taxes, pass-through telecom fees, and payment processor fees may apply where required.
Prepaid billing and activation policy
Monthly service fees are paid in advance. Clinic service activation may begin when the customer requests or receives a Happy Light AI answering number, reveals or copies the Open Dental CustomerKey, connects Open Dental, or otherwise authorizes production onboarding. After activation, monthly fees are generally non-refundable except where required by law or where Happy Light AI is solely unable to provide the contracted service.
Phone number and forwarding responsibility
Happy Light AI may assign an AI answering number for the customer's branch. The customer, its phone vendor, or its carrier is responsible for configuring any forwarding rules from the existing practice line. Happy Light AI does not port the customer's phone number, take over the carrier account, or remotely configure the customer's local phone system.
Required agreements
Customers may be required to accept an order form, recurring payment authorization, refund and activation policy, acceptable use terms, privacy terms, and Business Associate Agreement before clinic features that process ePHI or access Open Dental are enabled.
Service levels
Happy Light AI targets commercially reasonable uptime for production tenants. Planned maintenance, third-party outages, telecom carrier failures, payment issues, and customer-side configuration errors are excluded from uptime calculations.
Abuse and suspension rights
We may suspend or restrict a tenant immediately if we detect spam, fraudulent activity, credential misuse, excessive automated abuse, regulatory risk, or conduct that threatens platform stability or patient safety.
Customer responsibilities
- Maintain accurate practice rules, business hours, and staff notification settings.
- Verify insurance, clinical urgency, and appointment suitability through staff judgment.
- Use Open Dental and phone system credentials according to vendor terms.
- Ensure that staff are trained on HIPAA and internal privacy procedures.
Limitation
Happy Light AI is a workflow automation tool. Dental practices remain responsible for patient care, emergency protocols, insurance verification, billing decisions, and final scheduling oversight.
